INVENTORY MANAGEMENT
Inventory management and handling will be the responsibility of FROZEN CARGO TRANSPORTE SAS once the product is received at the company's facilities, using the previously provided information for pickup at the required location or direct delivery to our platform.
Upon verification of the received information against the physical merchandise and confirmation by both parties, the inventory will be entered into the system maintained by the company's operational staff, who will provide a report of all transactions, including receipts, movements, and balances, until the merchandise has completely left the facilities. Information is handled with traceability, suitability, discretion, and absolute confidentiality regarding the merchandise in custody.
For validation and verification of the information regarding the merchandise in custody in the refrigerated chambers, both Parties will conduct complete physical inventories during the last and/or first week of each month. The date will be agreed upon by both Parties. If, for any reason, either Party is unable to conduct the inventory on the agreed-upon date, they must notify the other in writing two (2) calendar days in advance. In such case, a new date will be set by mutual agreement.
The physical count of the Products will be conducted in the presence of CLIENT's personnel, who will verify the quantities, condition, positions, and other specifications according to the custody procedure.
The results of the physical inventory must be reconciled with the Parties' theoretical records. Subsequently, an "Inventory Status Report" will be completed and signed by both Parties. This document will record any discrepancies and their respective clarifications, in order to determine the final total shortages and/or overages as of the cut-off date, as well as the responsibility for them. The Parties will jointly validate the sum of shortages and overages for the respective reconciliation and cross-check, taking into account: damage, turnover, and items attributable to operations. The CLIENT must remove any expired products or products that do not meet the sanitary conditions for human consumption within 3 days of being notified of this event.
The processes of unloading, loading, and order preparation within the platform must be carried out exclusively by our operational personnel, using the necessary equipment and supplies, who are trained and comply with the regulations governing contracting, safety, and hygiene for the provision of the service.
